Conference Room AV Guide

Conference center

The 1800 Tysons Boulevard conference center is set up with screen-sharing capabilities designed to assist in presentations, meetings, and conference calls. The Clickshare program is intended for video conferencing with another party. The Clickshare Fob and micro will be provided by the concierge if requested. Simple screen sharing can be done through Clickshare, Wave Cast, or an HDMI connection. Instructions on how to set up each of the different platforms are included below.

Clickshare/Video Conference

  1. Request the tabletop microphone and Clickshare fob from the concierge.
  2. Connect the “round” black microphones to the black Ethernet mic ports in the wall plate, with provided standard Ethernet cables. Note: Place mics closer to main voices, or in the middle of tight groups for the best audio quality.
  3. Select the Clickshare button on the touch panel for wireless laptop presentations or Video Conference to the room display and speakers. The camera controls will appear on the touch panel.
  4. Connect the Clickshare USB-C fob to an open port on your laptop, the Fob installs a small app. The Clickshare is connected after the Fob button light stops blinking. Press once to display your laptop video (red) and access the room camera and mics, press again to stop.
  5. Once connected with Clickshare, select “Echo Canceling Speakerphone” for your laptop audio output for Conference, or regular Clickshare audio for a presentation.
  6. Use your favorite computer software, Zoom, Teams, WebEx, Blue Jeans, or Skype.
  7. Always perform a mic audio and camera test in your software’s “Audio/Video Settings”.
  8. Set the laptop level to 90% for good conferencing audio quality, then use the touch panel standard volume to control the overall loudness of the ceiling speakers.

Important Audio: The TV display volumes, and any laptop connected to a conference in the room (other than the conference host), should have their audio speakers off! This will alleviate conference echo. Only the Conference host laptop audio should sound through the ceiling speakers.

HDMI (Front and Rear)

  1. Select HDMI on the touch panel, and plug your laptop into the Atlona HDMI wall plate with provided HDMI cable. HDMI wall plates are located at the front and rear of the room.
  2. Ensure your audio output is selected in your laptop for the new Atlona HDMI device. Click over the speaker icon in Windows (lower right) and select “Atlona” audio output from the dropdown menu and hear audio through the AV system.

Wave Cast

Select this button to “mirror/cast” your device to any available IFA workout area and respective TV Display. Each TV has its own wave cast. You must connect to the client host-provided Wi-Fi network w/password. The Atlona splash page on the TV shows the “wave-(device id)” name for all device types. After connecting to the correct Wi-Fi, open your device’s mirroring app and connect to the “wave-(device id)” name. If the name is not available in your mirror app, check that you are connected to the correct Wi-Fi. Use Bluetooth earbuds to listen at any volume you like!

DirecTV

Select this button to watch DirecTV. Use the control page on the touch panel to navigate and enter channels or press a channel number and then “Enter”.
